KS Coordinator
Role Overview
Coordinates academic operations within an assigned Key Stage (e.g., KS3 or KS4/IGCSE). Ensures curriculum continuity, manages transitions between year groups, and supports Heads of Subject with cross-subject coordination and student tracking within the Key Stage.
Key Responsibilities
- Coordinate curriculum delivery and progression within the Key Stage
- Manage student transitions between year groups and Key Stages
- Monitor student progress across subjects within the Key Stage
- Support subject option processes and pathway guidance
- Coordinate cross-subject initiatives and enrichment within the Key Stage
- Liaise between Heads of Subject and Head of Academic on Key Stage matters
Processes
KS01 — Key Stage Curriculum Coordination
Frequency: termly (pre-term) Approval: Head of Academic Tools: curriculum maps / shared drive Coordinates with: Heads of Subject, Head of Academic
- Collate curriculum maps from all subjects within the Key Stage
- Review for progression, balance, and cross-curricular alignment
- Identify gaps or overlaps across subjects
- Coordinate cross-curricular literacy, numeracy, and skills mapping
- Flag issues to Head of Academic with recommendations
- Communicate any adjustments to Heads of Subject
KS02 — Student Progress Tracking (Key Stage Level)
Frequency: per data cycle Approval: KS Coordinator Tools: SIS / data dashboard Coordinates with: Heads of Subject, Head of Academic, Homeroom Tutors
- Collate student data across all subjects within the Key Stage
- Identify students at risk of underperformance across multiple subjects
- Cross-reference with pastoral data (attendance, behaviour, well-being)
- Flag multi-subject concerns to Head of Academic and Head of Pastoral
- Coordinate holistic intervention plans for at-risk students
- Track intervention impact at next data cycle
- Report Key Stage progress summary to SLT
KS03 — Transition Management
Frequency: yearly (Term 3) Approval: Head of Academic Tools: transition tracker / student profiles Coordinates with: Heads of Subject, Homeroom Tutors, Head of Pastoral, Admission Office
- Plan transition timeline for students moving between Key Stages or year groups
- Coordinate student profiling — academic, pastoral, SEN/EAL data
- Organise transition events (taster days, information sessions, parent briefings)
- Support subject option process for students entering IGCSE/AS/A-Level
- Ensure receiving teachers have student profiles and handover notes
- Coordinate with Admission Office for new student placements within Key Stage
- Review transition outcomes in Term 1 of the following year
KS04 — Subject Options & Pathway Guidance

- Prepare subject options booklet with pathway information
- Brief Homeroom Tutors on guidance process and timeline
- Organise options information evening for parents and students
- Collect and process student option choices
- Resolve clashes and confirm viable option blocks
- Communicate confirmed options to students and parents
- Hand over class lists to Heads of Subject and timetable coordinator
KS05 — Cross-Subject Coordination & Enrichment
Frequency: termly Approval: KS Coordinator Tools: calendar / project plans Coordinates with: Heads of Subject, CCA Coordinator, Head of Pastoral
- Identify opportunities for cross-subject projects or themed weeks
- Coordinate with relevant Heads of Subject on planning and delivery
- Align enrichment activities with Key Stage learning objectives
- Support CCA Coordinator with Key Stage-specific activities
- Evaluate impact and student engagement
- Report enrichment outcomes to Head of Academic
