Homeroom Tutor
Role Overview
First point of pastoral contact for an assigned group of students. Monitors attendance, well-being, and behaviour daily. Builds relationships with students and parents, supports transitions, and escalates concerns to the Head of Pastoral.
Key Responsibilities
- Monitor daily attendance and punctuality for homeroom students
- Conduct weekly well-being checks and log concerns
- Communicate with parents on pastoral and administrative matters
- Support behaviour policy implementation and restorative practices
- Deliver homeroom programme (PSHE, assemblies, admin)
- Contribute to reporting and transition processes
Processes
HT01 — Daily Registration & Attendance
Frequency: daily Approval: Homeroom Tutor Tools: SIS / attendance register Coordinates with: Head of Pastoral, Student Service
- Take morning registration and record attendance in SIS
- Note latecomers and record punctuality data
- Follow up same-day on unexplained absences (call/message parent)
- Report persistent absence patterns to Head of Pastoral
- Update attendance notes in SIS as information is received
HT02 — Weekly Well-Being Check
Frequency: weekly Approval: Homeroom Tutor Tools: well-being tracker / check-in tool Coordinates with: Head of Pastoral, counsellor
- Conduct well-being check-in with homeroom students (circle time, 1:1, or survey)
- Observe for changes in mood, behaviour, or engagement
- Log any concerns in the well-being tracker
- Refer urgent concerns to Head of Pastoral / DSL immediately
- Follow up on previously flagged students
- Report weekly summary to Head of Pastoral at pastoral team meeting
HT03 — Homeroom Programme Delivery
Frequency: weekly (timetabled) Approval: Head of Pastoral Tools: homeroom programme / PSHE materials Coordinates with: Head of Pastoral
- Deliver homeroom sessions as per the published programme (PSHE, life skills, study skills)
- Facilitate assemblies, guest speakers, or themed activities as scheduled
- Administer school communications (letters, permission forms, surveys)
- Support students with organisational skills (planners, timetables)
- Prepare students for school events, exams, or transitions
HT04 — Parent Communication
Frequency: as needed / termly Approval: Homeroom Tutor Tools: Commun / email / phone Coordinates with: Head of Pastoral, Subject Teachers
- Act as first point of contact for parents on pastoral matters
- Communicate proactively on attendance, behaviour, or well-being concerns
- Share positive updates and achievements
- Coordinate with Subject Teachers to gather academic updates when needed
- Participate in parent meetings and conferences
- Log all significant parent communications
HT05 — Behaviour Support & Restorative Practice
Frequency: as needed Approval: Homeroom Tutor Tools: behaviour log / SIS Coordinates with: Head of Pastoral, Subject Teachers
- Monitor homeroom students' behaviour across subjects
- Address minor behaviour concerns directly with the student
- Implement restorative conversations for conflicts within homeroom
- Log behaviour incidents in SIS same day
- Escalate significant or repeated issues to Head of Pastoral
- Support students on behaviour plans or sanctions
HT06 — Reporting & Transition Support
Frequency: per reporting cycle / yearly Approval: Head of Pastoral, Head of Academic Tools: SIS / report template / transition tracker Coordinates with: Head of Pastoral, KS Coordinator, Subject Teachers
- Contribute pastoral comments to student reports
- Collate information from Subject Teachers for a holistic student picture
- Prepare student profiles for transition (year group or Key Stage changes)
- Support subject option guidance in coordination with KS Coordinator
- Attend transition events and parent briefings as needed
- Hand over student records to receiving tutor at year end
